American Airlines Staff Assistant, Airport Station in Austin, Texas

Job Description

  • Answer phones, type letters/emails, handle mail

  • Manage Manager's calendar and organize meetings

  • Handle interline business travel requests

  • Coordinate assignment of all station keys & maintain key logs

  • Order, distribute and control station supplies (SmAArtbuy)

  • Reconcile P-card spending

  • Liaison with hotels as needed

  • Assist with various local communications (newsletters, announcements)

  • Oversee, review and monitor all local invoices through Invoice Works and disseminate as necessary

  • Troubleshoot and escalate office technology issues, including telephone systems and copier machines

  • Manage hiring, transfer and separation processes including collecting approvals and handling appropriate communications

  • Track and ensure employees complete onboarding duties, including appropriate system access, assignment of lockers, mailboxes, uniforms, badges, fingerprinting, training, etc

  • Track important employee dates, such as anniversaries, birthdays, etc

  • Assist in station event planning, coordination, and execution (i.e. Do Crew, luncheons, holiday meals, recognition events)

  • Handle payroll processing in Workbrain for management and support staff

  • Process bereavement letters and coordinate local communications and response

  • Maintain Station meeting plans, including monthly emergency response

  • Access and manage various periodic reports, including performance, audit, expense, employee engagement & recognition, etc

  • Update required manuals

  • File and maintain all security related items

  • Act as backup for various payroll functions

  • Manage records for OSHA, safety, etc. (301's, weekly and annual)

  • Assist with budget preparation and reconciliation, including monthly closeout of landing fees

  • Support with auditing activities as required

  • Track and verify incentive funds earned

  • Liaison with CRE/Facilities and vendors to track local projects as needed

  • Lead/direct work with other support staff as needed

  • Support employees with and manage new and renewal badging processes

  • Manage employee parking, including permitting and assignments as required

  • Assist with timekeeping functions, data entry, data verification, reconciliations and filing

  • Maintain employee files as necessary

  • Maintain Station meeting plans, including monthly emergency response

  • Access and manage various periodic reports, including performance, audit, expense, employee engagement & recognition, etc

  • Update required manuals

Job Qualifications

Minimum Qualifications

  • High School diploma or GED

  • Previous office/clerical experience

Knowledge, Skills & Abilities

  • Knowledge of MS Office to include Word, Excel, Powerpoint, etc.

  • Knowledge of policies, procedures, and corporate structure

  • Ability to prioritize work, be detail oriented and meet deadlines

  • Ability to effectively communicate with all levels both verbally and written

  • Ability to perform in a fast paced environment and handle multiple tasks simultaneously

  • Ability to be self-motivated with strong organizational skills

  • Ability to grasp concepts and functionality of specific software and programs
