Cleveland Clinic Clerical-Assistant in Cleveland, Ohio

Job Summary:

Provides clerical, reception and administrative support activities. Communicates with patients and family/significant others, and acts as liaison with other hospital personnel (preop scheduling areas, doctors, nurses, chaplains, OR personnel, PACU, etc.). Answers, screens and refers incoming telephone calls. Takes and relays messages. Types, edits and proofreads: correspondence, forms, reports, memos, minutes and other materials. Performs data entry and retrieval using word processing, spreadsheet and database systems. Provides clerical support for unit operations.

Responsibilities:

  • Provides clerical support for unit operations which includes: compiling information, producing correspondence, reports and spreadsheets.

  • Sorts, identifies and distributes mail. Assists in development of presentations.

  • Provides general information to internal and external customers.

  • Screens visitors and callers coming into the area/office; answers questions, answers, screens and refers incoming telephone calls, takes and relays messages, refers customers to appropriate location or person as necessary, responds to requests for information.

  • Coordinates various calendars, arranges meetings, distributes agendas, types and distributes minutes.

  • Develops and maintains filing and electronic filing systems.

  • Maintains confidentiality of information regarding patients, families and coworkers.

  • Inputs and retrieves data.

  • Orders or assists with ordering supplies and equipment.

  • Trains and/or orients new clerical and nursing staff in clerical procedures.

  • Provides cross-coverage for other clerical/secretarial positions as necessary.

  • Other duties as assigned.

Education:

  • High School Diploma or GED.

Certifications:

  • None required.

Complexity of Work:

  • Typing proficiency of 25 wpm with accuracy.

  • Requires critical thinking skills, decisive judgment and the ability to work with minimal supervision.

  • Must be able to work in a stressful environment and take appropriate action.

Work Experience:

  • Minimum one year experience in a clerical/receptionist job, preferably in a healthcare setting including direct patient/family contact.

  • After selection and placement into this position, at least one month of on-the-job training to become familiarized with various job duties and departmental policies and procedures.

Physical Requirements:

  • Manual dexterity sufficient to perform the basic functions of the job.

  • Requires frequent computer entry and sitting.

  • Requires normal or corrected vision, hearing and speech.

Personal Protective Equipment:

  • Follows standard precautions using personal protective equipment as required.
