Robert Half Office Team Construction Admin Assistant in INDIANAPOLIS, Indiana

Officeteam is searching for a Construction Admin Assistant to fill a position with a client in downtown Indianapolis. This role will be contract to hire and will assist the President's Executive Assistant/Office Manager with overflow work. Daily responsibilities will include:

  • Email and telephone coverage, copier and facsimile projects, mail handling and necessary communications internally and externally

  • E-mail correspondence with subcontractors & vendors

  • Meeting minutes entry & distributing, data entry

  • Keeping Filing systems current- Hard copies, share files, One Note, Portal internal & on project sites

  • Continuous Record keeping – Warranty Walks, Outstanding Items

  • Subcontracts, Change Orders, Purchase Orders – Pull documents together and manage execution and redistribution

  • Ordering plans/specs/drawings, managing calendars, and order supplies for corporate, site & plottesr

  • Manage Calendars of PMs – coordinating with Management/Development/BC

  • Obtain quotes and collecting proposals

  • Scheduling subcontractors/outside vendors

  • Assist with turnover of apartments during & after punch – Liaison between construction & owner/management

  • Producing Superintendent files and running reports for GPAs

  • Delivery of correspondence downtown Indy – samples, contracts, plans etc

  • Lunch pick up/delivery for meetings

  • Close out of projects - Warranties & O&M; manuals

  • Manages safety set up at job site offices and track BCC safety hard hat stickers

  • Assists in bidding process and organization of pricing as it corresponds to each project

  • Preparation of Letter of Intent and Subcontract paperwork. Manages the execution of subcontracts and distributes copies as needed

  • Handling of submittals/RFI's throughout project with necessary consultants/subcontractors

  • Manage online plan room including keeping company and contact information up to date on bidder's list, entering new projects and coordinating the uploading of drawings, and ordering the proper paperwork to be sent to subs at the direction of the Project Manager If interested, please directly apply at or send your resume to

Requirements: Requirements:

  • College degree or commensurate experience

  • Must be able to type 60 wpm

  • Knowledge of Microsoft Word and Excel

  • Familiarity with Timberline and AIA Software is a plus

  • Five years of previous administrative experience, and high degree of professionalism

  • Knowledge of Real Estate/Construction processes and terminology

  • Working knowledge of mail processes such as postage machine and DHL

  • Exceptional leadership, management, communication, customer service, and collaboration skills

  • Strong analytical skills

  • Excellent organizational and time management skills including ability to multitask, and meet changing deadlines

  • Excellent computer skills, with emphasis on Microsoft Office; Yardi and Procore a plus
