St. Mary's Good Samaritan Health Information Clerk - Float in Madison, Wisconsin


Role Purpose:

The Health Information Clerk, Float works under the supervision of the Health Information Lead, is responsible for traveling to Dean mail/file rooms and DCCS to cover all activities within the Clerk Pool, Disability, Mailroom, File Room, Prep Room, QA and Scanning areas. Individuals will perform a variety of moderately complex tasks with items that are extremely confidential. The position will involve working within Epic flow sheets, Inbasket folders, chart review, document tables, orders and encounters.


Overall responsibilities will include a combination of below:

  1. Providing coverage in all Health Information areas:

a. Open, sort and deliver US and Interdepartmental mail.

b. File room duties.

c. Processing disability/FMLA forms for patients.

d. Tracking disability/FMLA forms within Epic by utilizing Epic flow sheets.

e. Reviews Epic to compile medical information needed to complete disability/FMLA forms. Sends forms for completion and/or signature to appropriate healthcare providers.

f. Communicate with providers, patients, employers, insurance companies as needed to complete tasks.

g. Reviews and addresses all clerk pool messages within Epic Inbasket.

h. Forward pertinent information to Epic Inbasket providers or prints and mails requested information.

i. Reviews, verifies and scans legal documents.

j. Scans to encounters/orders/document list within Epic.

k. Covers scanning prep desk.

  1. Manages multiple tasks and maintain production and quality requirements.

  2. Maintain knowledge of all scanning requirements to QA scanned documents.

  3. Handle confidential information appropriately.

  4. Performs other duties as assigned.



  1. High school diploma or equivalent

  2. Two years experience in a Medical Records department.

  3. Excellent organizational, time management and communication skills.

  4. Good decision making skills with attention to detail.

  5. Ability to adjust workload according to changing priorities.

  6. Ability to travel and flex hours for needed coverage.

  7. Must have previous experience in 2 or more of the HIM areas; scanning, clerk pool, disability and/or mailroom.


  1. Medical terminology.

  2. Previous office/customer service experience.

  3. Previous experience using Epic.
