Summary: Answer incoming calls and transfer to the appropriate offices. Complete intake forms over the phone and make necessary appointments. Typing of general correspondence, reports, and memos. Mail distribution. Application of general office procedures, data entry and operation of office machines. Good attendance a must.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
Welcomes and greets clients and visitors to the Recovery Center.
Assists Director of Clinical Services.
Handles switchboard functions, answers and transfers calls.
Handles Outpatient Clinic pre-screening intakes over the phone in a courteous and professional manner. Scheduling timely intake appointments in keeping with agency policy and procedures; enter into the IMA system.
Dispatching and monitoring Outpatient transportation, i.e. dental, eye exams, etc.
Responsible for mail pick up, drop off, and delivery of agency mail internally.
Responsible for agency lunch ticket disbursement and collection of funds.
Receives and issues receipts for clubhouse meeting dues.
Receives and issues receipts for client payments for treatment services.
Available to work evenings.
Performs general secretarial work, i.e. filing, copying, etc.
Provides coverage for other secretaries/receptionists.
Maintains confidentiality in accordance with agency policy and procedure and applicable State and Federal Laws.
Remains current in skills necessary for job duties, attending trainings as requested or indicated.
Other duties as requested.
Position Type and Expected Hours of Work:
This is a full-time position. Days and hours of work are generally 8:00 AM to 4:00 PM for four days and 12:00 PM – 8:00 PM one day.

Use of computer approximately 70% of the time.
Ability to lift 20-30 pounds.
Sitting, standing, walking, talking, bending, lifting, and stooping are required.
Enter and exit buildings to outdoors on a daily basis to gain entry to other buildings.
Education and/or experience required:
GED or HS Diploma. College degree or certificate in office administration a plus.
Minimum of one year secretarial/receptionist experience.
Skills, Licenses, and/or competencies required:
Knowledge of MS Word and Word Perfect computer skills.
Ability to type a minimum of 55 WPM.
Experience with functions of switchboard.
Excellent oral and written skills to effectively communicate with all levels of staff and develop written policy.
Bilingual (English/Spanish) a plus.
