Key Responsibilities and Accountabilities Represents the President by welcoming visitors, reviewing correspondence; arranging business lunches/dinners and other corporate functions; answering questions and meeting requests directed to the President. Manages President's calendar efficiently, paying close attention to detail. Preparing President for meetings by gathering any meeting materials/information (background) on attendees. Arranges corporate travel and meetings by developing itineraries and agendas; booking flights and other transportation; arranging lodging and meeting accommodations. Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans. Updates job knowledge by participating in educational opportunities; reading detail oriented publications; maintaining personal networks Improves quality results by studying, evaluating, and re-designing processes; implementing changes. Enhances the President's and Association's reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments. Secondarily supports the Director, Marketing and Communications on tasks/projects including but not limited to Construction Today, Annual Report, Special Events, Website and Advertising as needed. Office Management Responsibilities and Accountabilities Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement. Maintains office services by organizing office filing systems; distributes mail; reviewing supply requisitions; monitoring clerical functions. Prepares purchase orders by obtaining three competitive quotes for office/building purchases in a timely manner. Liaises with outside vendors/service providers. Serves as primary administrator for Membee. Updates and maintains database. Contributes to team effort by accomplishing related results as needed.
