A reputable financial company in the northwest suburbs is currently looking to hire an Executive Administrative Assistant. The Executive Administrative Assistant reports to the CEO and other executive leadership. In addition to traditional administrative responsibilities, the Executive Administrative Assistant will provide support to the company as a whole. The Executive Administrative Assistant ensures that documents are accurately prepared in order that deadlines are met and client services are delivered to both external and internal clients (i.e. other Firm departments). In addition, the Executive Administrative Assistant coordinates and schedules meetings and handles the calendar, answers phones, arranges travel, processes expenses and prepares and electronically files documents. Executive Administrative Assistant position involves use of an electronic document management system, referring phone calls and inquiries and interacting with other administrators, executives and staff within and outside of the department, and all levels of business personnel. Responsibilities:
Performing executive assistant duties for the CEO and Executive Leadership
Assisting with the preparation of all board materials and serving as a primary contact for dissemination of materials to board members
Supporting the event planning needs for all board meetings
Utilizing a document management system for document preparation, filing and retrieval
Multi-tasking and processing flow of work assigned
Ensuring work is complete, accurate and timely
Handling contact with directors and outside clients in a professional and courteous manner
Word processing of correspondence and documents
Managing executives' calendars
Making travel arrangements and preparing related expense reports
Managing corporate credit cards and partnering with vendors
