Working here is your opportunity to shape an industry that’s vital to us all.Job SummaryPerform, coordinate and oversee office administrative duties while providing an extensive level of support to the Senior Vice President, Chief Technology & Information officer.Specific ResponsibilitiesSpecific duties generally include but are not limited to the following:Agenda Management• Maintain good control of Senior Vice President’s meeting agenda/schedule. • Actively participate in the organization and preparation of meetings (i.e. room setup, required materials, refreshment needs)General Administration of all communication channels, documents and reports• Respond to all communication requests promptly and professionally and deliver General Administrative Mail, Email, Documents and Reports on time, with accuracy and thorough investigation• Phone, Mail & Email – filter incoming calls, mail and emails, and prepare appropriate responses/drafts, as required• Vacation reports - maintain a vacation list of all direct reporting employees• Mobile Usage – review virtual invoices for good use of service and travel packs• Travel Documents - make all travel arrangements in a timely and cost effective manner following policy guidelines (Hotels/restaurants/plane tickets)• Prepare monthly reports:o Report on use of company vehicle before 5th business day of each montho Complete monthly travel and expense report and submit for approvalo Validate / Update departmental organization chartso Validate and process invoices for timely approval and paymentPrepare and plan performance reviews• Schedule Performance Review activities and related meetings to occur within HR’s prescribed official period• Make sure employee profiles are up to date• Help prepare Calibration Materials where required Prepare CIO/CTO Budget & track results• Update and Analyze CIO/CTO Budget Forecast results after each Financial Period End• Provide support in the preparation of yearly CIO/CTO BudgetAssist SVP with charity event involving the SVPAssist SVP with association workMiscellaneous other duties• Assist other CIO/CTO Management and Administrative Assistants in the preparation of documents or administrative functions.• Translate documents, such as letters, memos and procedures (from English to French and vice versa).• Organize special departmental events and meetings • Prepare PowerPoint presentations or Excel spreadsheets as requiredQualificationsPosition Requirements & Skills• 2 to 5 years of experience in a similar position (executive level)Communication skills• Bilingual (spoken and written; English and French)• Good listening skills• Speaks with confidence using clear, concise sentences and is easily understood• Produces well thought-out, professional correspondence free of grammatical and spelling errors• Uses high quality, professional oral and written skills to project a positive image of the businessClient Service• Interacts professionally with clients and associates at all times• Promptly responds to requests with accuracy and a courteous demeanorAdaptability • Demonstrates flexibility in the face of change• Projects a positive demeanor regardless of changes in working conditions• Shows the ability to manage multiple conflicting priorities without loss of composure.Organization • Time Management – Determines the appropriate allocation of time• Space Management – Keeps a clean and organized office, appropriately handles paperwork, maintains control over the physical environment• Task Management - Can balance conflicting priorities and meet critical deadlines Proactive anticipation of needs• Demonstrates the ability to foresee problems and prevent them by taking action• Utilizes analytical skills and a broad understanding of the business to effectively interpret needsBroad Understanding of Business Concepts• Demonstrates an awareness of fundamental business principles as well as an understanding of the overall industry in which the business operatesTeam player• Works as a competent member of the team, willingly providing back-up support for co-workers when appropriate and actively supporting group goalsComputer/Technical Skills• Displays proficiency with using standard Microsoft Windows and Office software such as Word, Excel, PowerPoint and Visio. • Basic user knowledge of SAP is an asset.• Demonstrates advanced proficiency by quickly adapting to new technology and easily acquiring new technical skillsJudgement• Exhibits sound judgement and the ability to make reasonable decisions in the absence of direction• Swiftly refers problems/issues to the appropriate person(s) when necessary • Works effectively without constant and direct supervision or guidance• Uses discretion and keeps information confidential.Benefits & Company StatementMcKesson believes superior performance – individual and team – that helps us drive innovations and solutions to promote better health should be recognized and rewarded.
