Associate Program Manager - Corporate Travel

Corporate Travel industry and travel booking experience required

Job Summary:

The Associcate Program Manager is responsible for end-to-end coordination for all aspects of the Kaiser Permanente National Travel Program and will support the travel management team in financial analysis, business and ROI modeling, benchmarking and trending data from client and internal perspective, ad hoc reporting and analytics, and projects. Coordinates special projects around program optimization and delivery of program standards.

Essential Duties and Responsibilities:

Program Coordination/Project Management

•Ensure timely delivery of all deliverables; foresee potential conflicts and dependencies; make workaround recommendations.

•Provide weekly status updates to travel management team

Internal Communications Coordination

•Assist with development and distribution of newsletter

•Assist with development and distribution of traveler alerts; in conjunction with Duty of Care Agency

•Manage all in-bound requests; respond to inquiries in a timely manner; escalate and prioritize longer-term requests.

•Act as a liaison, provide product/services information and resolve any emerging problems that our customers might face

Materials Management and Development

•Monitor web content

•Design and coordinate decks for large group meetings

Tracking, measurement and analysis

•Deploy and track results of surveys

•Collect data and provide evaluation summaries, scorecards, and reporting.

•Analyze patterns, recommend cost savings and productivity enhancements

•Identify opportunities to improve performance against contractual terms

•Identify areas where the client exceeds committed performance for renegotiation


•Travel booking - less than 10% of assigned workload

•Facilitate effective communication with all levels of account management team, conduct internal presentations.

•Projects as identified and assigned by senior management team

•Assumes and performs other duties and responsibilities not specifically outlined herein, as requested.



•1-2 years of program and/or project management experience

•Knowledge of internal and client financial management

•Proficiency in Microsoft Office applications (Lotus Notes, Outlook, Excel, Word, and PowerPoint) required. Must be able to produce reports and charts, registration lists

•Solid working knowledge of the travel industry, policies, procedures and processes

•Travel booking exerience using a GDS (Apollo)


•Bachelor's Degree

•Minimum 2 years’ experience in a related field

•Knowledge of project management

•Knowledge of business and client management

•Diverse cross-cultural understanding and abilities
