The Executive Administrative Assistant role is an essential and highly visible role supporting the Global Head of Consultant Relations, the Global COO of Defined Contribution (DC) and the Head of ESG at SSGA. These executives are based in San Francisco and oversee global organizations with direct reports consisting of sales and distribution professionals and they work closely with members of senior management as well as members of the Global Consultant Relations, Global Defined Contribution and Global ESG businesses. You will be considered a member of the inner circle to help organize key leadership meetings, juggle multiple projects and initiatives, as well as manage a very busy calendar for the Head of Global Consultant Relations. What You Bring to the Role

  • Strong administrative skills and support to the executives and the leadership teams

  • Enthusiasm, a sense of humor and a can-do approach

  • Manage calendar, email, coordinate meetings, conference rooms, correspondence, IT needs and the onboarding of new employees

  • Process expenses and personnel timesheets on time

  • Organize events and meetings with flawless logistics

  • Research and compile materials needed for meetings, calls and projects

Your Skills and Experience

  • 3-5 years minimum

  • Strong proficiency in Microsoft Office suite (Outlook, Word, Excel, and PowerPoint)

  • Ability to adapt to shifting priorities, meet deadlines and effectively execute in a rapidly changing environment

  • Can-do approach to problem-solving and prioritization complemented by strong decision-making capability

  • Strong communication skills across all levels of the organization

  • Excellent organizational skills with proficient attention to detail

  • Proven ability to handle confidential information with discretion

  • Ability to work independently and collaboratively

  • Self-motivated and passionate about delivering high quality output
