With minimal supervision, this position performs a variety of complex office/clerical support duties related to the Schools front office operations, which requires a thorough knowledge of administrative and student support services, business operations, and customer service. The Office Specialist applies this specialized functional knowledge to independently analyze and respond to administrative matters within established limits. This position serves as a key contact for administrative functions and customer service, providing support to the mission of the school and the school's faculty, staff, and students.
Works closely with the Student and Academic Services team to provide support when necessary to ensure students, potential students, and the public receive timely response to academic requests, questions, and transactions. This includes answering inquiries from prospective students and corresponding with current students; assisting with the scheduling advising appointments; answering general advising questions, and providing student information about policies and procedures.
Performs daily front desk functions for the School of Social Transformation with minimal supervision. Responsibilities include providing reliable and resourceful receptionist and general office operational services from 8am to 5pm Monday through Friday as well as occasional staffing of events on evenings and weekends.
Ensures daily operations of busy academic office including: answering multi-line phone and general email account; greets and directs visitors giving general information in response to inquiries; delivers verbal and written messages to appropriate faculty and staff members. Sorts and distributes incoming mail and paychecks. Files correspondence, memoranda, reports and other materials as determined by project and at supervisor's discretion. Maintains a variety of records requiring classification and compilation of varied information.
Process documents or forms according to instructions. Delivers items to other offices or locations. Effectively maintain office supplies and anticipate needs for busy and cyclical times throughout the year.
Answers questions or complaints and makes adjustments within established limits. Serves as a primary reference source for front office administrative operations to assist in resolving discrepancies or procedural problems.
Monitors and assist with the coordination of work for student staff including planning, scheduling, and assisting with the prioritization of student workloads to meet operating requirements. Assists with developing, implementing and revising work and operational procedures.
Assist with the planning and logistics of school events (including assistance with the coordination of events across multiple research centers, business units, museums, ceremonies, and outreach projects).
Other duties as assigned.
Three (3) years of office/clerical experience, which includes one (1) year in a directly related function; OR,Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
