JOB TITLE: Vendor Relations Representative – General (Accounts Payable)

REPORTS TO: Manager, Vendor Relations

J OB SUMMARY:

The General Vendor Relations Representative (Accounts Payable Representative) is responsible for providing accounts payable support to our more than 750 stores and all but the largest 300 of the more than 13,000 active vendors. These vendors generally provide product to a limited number of our stores and typically have annual spend of less than $500K. The General Vendor Relations Representative (Accounts Payable Representative) is required to maintain vendor accounts to stay current throughout the year. The Vendor Relations Representative (Accounts Payable) is expected to perform basic vendor statement reconciliations, document proposals for vendor settlements to the Vendor Relations Supervisor, and respond promptly and accurately to all store and vendor inquiries. Tasks are assigned to the General Vendor Representative daily as received via phone, mail and faxes from our stores and vendors.

ESSENTIAL FUNCTIONS

  • Monthly reconcile Top Accounts assigned by the Vendor Relations Supervisor

  • Resolve vendor holds within 3 days and complete 100 to 135 assigned tasks per month.

  • Log all store & vendor inquiries via a web–based tool Footprints

  • Follow-up consistently and thoroughly with vendors, store personnel and the B&N Merchandiser

  • Reconcile and settle all outstanding claims for assigned vendors and tasks.

  • Manage and collect on debit balances (monies owed to Barnes & Noble) for assigned vendors.

  • Perform other responsibilities as directed.

  • Adhere to Barnes & Noble College Policies and Procedures.

REQUIREMENTS/QUALIFICATIONS:

  • Associates Degree with 2 years’ experience in a related Accounts Payable role

  • Strong customer service skills

  • Excellent communication skills, both verbal and in writing

  • Knowledge of Microsoft Office (Excel, Word, Access)

  • Problem solving ability

  • Detail oriented

  • Analytical skills

  • Interpersonal skills

  • Ability to meet deadlines

  • Ability to prioritize and work on several tasks simultaneously

  • Ability to work under pressure
