Job Purpose:

This position is for an Executive Assistant, reporting to the Chief Audit Executive (CEP) and to based in Dublin. The role holder will be required to proactively provide all day-to-day administrative and secretarial support to 1 Chief Audit Executive and 1 Chief Auditor. The duties will be complex and highly confidential in nature and will require a high level of discretion and judgment.

Citi's Internal Audit division provides independent assessments of the company's governance, risk management and internal control environment for key stakeholders including the Board of directors, senior management and Citi’s numerous regulators globally. Internal Audit is a change agent within Citi aimed to enhance the control culture of Citigroup worldwide and thereby support senior management decision making around the world.

Key Responsibilities:

•Prepares internal/external correspondence in addition to maintaining, answering and routing correspondence not requiring the manager’s attention.

•Maintains daily appointment calendar and meetings.

•Coordinates travel arrangements and prepares travel expense statements.

•Proactively supports the CAE in the preparation and review of reports for Audit Committees, Regulators and BRCCs

•Creates and maintains files of all manager’s correspondence, records, etc.

•Assists with ad hoc reports, special projects, organizational charts, etc.

•Prepares and reviews materials for manager’s use in discussions and meetings.

•Coordinates work involving confidential company and personnel related information including performance appraisals, travel and expenses, vacation schedules, etc.

•Trains, coaches or guides other administrative support personnel.

•Assist the CAE / CA in the preparation of power point presentations for regulators, townhalls and ad hoc conferences and senior executive meetings.

•Supports communication activities for the IA location and teams including managing logistics for townhalls and location-wide or team events, and setting up WebEx meetings.

•Supports administrative activities for the IA location, such as:

•Administering office space to support staff seating

•Coordinating onboarding activity in relation to new joiners and co-source staff. Including placing marketplace for systems access, ordering equipment and coordinating ID provision

•Leading logistical arrangements for staff training courses held in the location, including provision of training materials.

•Administering filing systems and physical records management.

•Maintaining necessary office supplies, making requests through Marketplace/P2P.

•Assisting in the handling of corporate credit cards.


Qualifications and Competencies:

•Significant senior level EA experience.

•Significant experience in the financial services industry.

•Excellent knowledge of Microsoft packages, including a proven ability to produce professional power point presentations.

•Excellent organizational skills and ability to work proactively without close supervision.

•Strong judgment and decision making skills.

•Well-developed problem-solving skills.

•Strong interpersonal skills, strong energy and enthusiasm.

•Strong communication skills both verbal and written to be able to interact confidently with internal clients.
