The Office of Professional Practices Services is seeking a highly organized and self-motivated individual to provide high-level administrative support. This position requires great attention to detail, the ability to maintain an acceptable rate of productivity in a high-volume, often stressful work environment, and successfully and calmly balance multiple and competing priorities. This position serves as logistics manager for Professional Practices Services and as personal assistant to the chief, performs all personnel paperwork, prepares travel authorizations for all staff, orders office supplies, processes orders and payments via My Florida Marketplace, manages contracted services, drafts correspondence, prepares and assists with the processing of letters and certified mail, answers the telephone to screen and route calls, and conduct research or assist with special projects as needed. Examples of duties include, but are not limited to:
Maintains files and records of office tasks.
Ensure supplies are available and the procurement of office supplies.
Answers telephone and screens and routes calls as appropriate for the chief and responds to inquiries for general information.
Prepares and processes authorizations, travel itineraries and vouchers for the office staff, attorneys, witnesses, and the chief and prepares and processes payment for reimbursements.
Serves as the personnel liaison for the Office of Professional Practices Services. As such, he/she is responsible for preparing personnel actions, serving as timekeeper by maintaining attendance and leave records, and preparing position requisitions through the People First System. Timesheets will be completed in the People First System by the 5th business day of the following month. Confidentiality of these matters will be maintained at all times.
Receives, sorts and distributes mail and other correspondence.
Maintains the chief’s calendar and travel schedule, makes reservations and processes travel authorizations and reimbursements.
Knowledge of Microsoft Office Suite is required, including Outlook Calendar and email. Helpful applications include CCIS, DHSMV, MyFlorida, and Ariba.
Performs other duties as assigned.
Attendance is an essential function of this position. Hours are 8:00 AM-5:00 PM.
